PIONEERS PRIVACY POLICY

Policy Statement/purpose:

Pioneers Tutoring values the privacy and security of personal information and is committed to protecting the confidentiality of individuals' personal data. This Privacy Policy outlines our practices and procedures regarding the collection, use, disclosure, and management of personal information in compliance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). 

1. Scope of Policy


This Privacy Policy applies to all personal information collected, used, and disclosed by Pioneers Tutoring in the course of its activities. It covers personal information of students, parents, contractors, volunteers, job applicants, alumni, visitors, and other individuals associated with the Tutoring Business.


2. Collection of Personal Information


2.1 Types of Personal Information Collected


Pioneers Tutoring may collect and hold various types of personal information, including but not limited to: 

Personal Information: Names, addresses, contact details, dates of birth, next of kin details, photographic images, attendance records, and financial information. 


Sensitive Information: Government identifiers, religious beliefs, nationality, professional memberships, family court orders. 

Health Information: Medical records, disabilities, and psychological reports. 


2.2 Collection Methods


Personal information is primarily collected directly from the individuals in various capacities such as students, contractors, volunteers, stakeholders, job applicants, and others. We may collect personal information through enrolment forms, health information disclosure forms, emails, letters, website interactions, telephone conversations, face-to-face meetings, financial transactions, and surveillance activities (e.g., CCTV cameras or email monitoring). 


In some cases, personal information may be collected from third parties or independent sources, provided it is not reasonable and practical to collect the information directly from the individual. 


2.3 Consent


We generally seek written consent from individuals before collecting their sensitive information or health information. Consent may be obtained through consent forms or other appropriate means. However, employee records relating to current or former employment relations are not covered by the APPs, except for health records covered by the Victorian Health Privacy Principles. 


3. Use of Personal Information


Pioneers Tutoring only uses personal information for the primary purpose for which it was collected or for related secondary purposes that would be reasonably expected. The primary uses of personal information include, but are not limited to:


Providing educational, pastoral care, extra-curricular, and health services. 

Fulfilling legal obligations, including duty of care and child protection obligations. Communicating with parents through correspondence, newsletters, and magazines. Conducting marketing, promotional, and fundraising activities. 

Supporting Tutoring Business associations, activities, charities, and community-based causes. 


Improving day-to-day operations, training staff, and developing programs and services. 


Administering Tutoring Business activities, insurance purposes, and employment-related matters. 


Pioneers Tutoring may disclose personal information to government agencies, parents, schools, service providers, agents, contractors, business partners, related entities, and other recipients if the individual has given consent or would reasonably expect the disclosure in that manner. Personal information may also be disclosed without consent or as required by law, to protect life or safety, or for law enforcement-related activities. 


4. Storage and Security of Personal Information


Pioneers Tutoring takes reasonable steps to protect the personal information it holds from misuse, loss, unauthorised access, modification, or disclosure. Measures implemented include: 


  • Restricting access and user privileges based on staff roles and responsibilities.
  • Secure storage of physical records in lockable filing cabinets/rooms.
  • Securing premises and implementing physical security measures.
  • Maintaining IT and cybersecurity systems, policies, and procedures.
  • Ensuring staff compliance with internal privacy policies and procedures

This Code will be reviewed once yearly by the Board, unless otherwise required to ensure compliance with any changes in legal or regulatory requirements.
